Google Calendar Appointments
Connect Google Calendar to an Andy Agent, set Booking Rules, and let the Agent offer and book Appointments.
Outcome
Connect a Google Calendar to one Andy Agent so the Agent can check real availability and book Appointments with Visitors from the Conversation. Google Calendar stays the source of truth: Andy reads free time from it and writes each booked Appointment into it.
The App shows Spanish labels in parentheses below, for example Integrations (Integraciones).
Before you connect
Confirm that:
- You are an Admin or Owner of the Workspace. Other roles cannot connect or disconnect Google Calendar.
- The intended Agent is selected. The connection belongs to that Agent only; each Agent connects its own calendar.
- The Workspace is on Pro or Pro Max if the Agent should book Appointments. Any plan can connect Google Calendar, but editing and enabling Booking Rules requires Pro or Pro Max.
Connect Google Calendar
- In the Andy App, select the intended Workspace and Agent.
- In the sidebar, under the selected Agent, open Integrations (Integraciones).
- Open the Google Calendar card and choose Connect (Conectar).
- Sign in with the Google account that owns the calendar and approve the requested calendar access.
- Return to Andy and confirm that the page shows Connected (Conectado) and the connected account.
Connecting alone does not let the Agent book. Set and enable Booking Rules next.
Set Booking Rules
On the same Google Calendar page, open Booking Rules (Reglas de agendamiento):
- Choose the Target calendar (Calendario destino). The primary calendar is the default.
- Set the Time zone (Zona horaria) as an IANA name, for example
America/Santiago. - Under Weekly availability (Disponibilidad semanal), add time ranges for each day. A day without ranges is closed.
- Optional: turn on Monthly availability (Disponibilidad mensual) to allow only chosen dates this month and next. Each enabled date can follow the weekly hours, be closed, or use its own hours.
- Add 1 to 3 Appointment types (Tipos de cita), each with a name, a duration of 15 to 240 minutes, and a modality: In person (Presencial) or Video.
- Under Booking guardrails (Reglas de reserva), set the Time between meetings (Tiempo entre reuniones, 0 to 120 minutes) and the Minimum notice (Anticipación mínima, 0 to 14 days).
- Turn on Enabled (Habilitadas) and choose Save rules (Guardar reglas).
Enabling requires at least one day with availability.
What the Agent does
Once Google Calendar is Connected and Booking Rules are Enabled, the Agent books on every Channel it answers, including the web widget, Public Chat, WhatsApp, and Instagram:
- When a Visitor asks for an appointment, the Agent checks real free time in the target calendar and offers Slots inside the Booking Rules.
- The Agent books only after the Visitor confirms a specific Slot and gives their name, email, and phone.
- The Appointment is created as an event in the target calendar. A Video Appointment gets a Google Meet link.
- Visitors who book appear in the Agent's Contacts and in the booked list on the Google Calendar page.
The Andy Assistant does not book Appointments or change Booking Rules. It explains the setup; the Agent books for Visitors.
Disconnect
Choose Disconnect (Desconectar) on the Google Calendar page. The Agent stops offering and booking Appointments. Events already created stay in Google Calendar.
Troubleshooting
The Connect button is missing or the connection is refused
Only a Workspace Admin or Owner can connect Google Calendar. Ask one of them to connect it for the selected Agent.
Booking Rules are locked or ask for an upgrade
Open Config → Usage & plan and confirm the Plan. Calendar booking needs Pro or Pro Max. The connection and saved rules are kept while the Plan is lower, but the Agent does not book.
Andy asks to reconnect Google Calendar
The Google authorization expired, was revoked, or the person who connected it is no longer a Workspace member. Choose Disconnect, then Connect again with an account that owns the calendar.
The Agent does not offer appointment times
Check, on the Google Calendar page for the same Agent:
- The status is Connected.
- Booking Rules are Enabled and saved.
- The requested day has weekly availability, and monthly availability, if turned on, enables that date.
- The Minimum notice does not exclude the requested date.
- The target calendar has free time in those ranges.
The Agent offers times but does not book
The Agent needs the Visitor's explicit confirmation of one Slot plus name, email, and phone. Asking whether a time is free is not a booking request.
